1.   Booking process and documents required for hire

 

Once we have received your enquiry and confirmed the dates are available, we will send you our booking form, driving licence and insurance form, insurance terms and conditions and our motorhome returns policy.

We require you to complete in full and return via email. Once received we will ensure you meet the criteria of our insurance company before we proceed.

 

2.   Driving licence requirements

 

Please read carefully as this is a fundamental part of accepting your booking with us. You must:

  • Have a full UK driving licence

  • Be aged between 30 – 75 years old

  • Have held a UK licence for at least 5 years

  • Not have had your licence suspended for any period within last 5 years

  • Not have any more than 2 x speeding fines (SP30s) within last 5 years

  • Have no more than 1 fault accident within last 3 years

  • Not have been involved in more than 1 accident within the past 3 years

  • Not have had any insurance declined, refused, cancelled or special measures imposed as a result of a claim, your fault or not your fault or for any other reason

  • Have no medical conditions that would affect your driving

  • Not have had your licence revoked or had any restrictions imposed

  • Not have been convicted of any driving offences or received fixed penalties in the last 5 years

  • Not have ever been prosecuted or have any police enquires or court appearances pending

  • Not have defective vision or hearing, not corrected by glasses or a hearing aid. Have you got diabetes or any physical, mental, infirmity or fits of any kind that would cause issues when driving

  • Advise if you have been involved in an accident or loss within last five years

 We require a full driving licence check via the DVLA. We will need you to send us details of your national insurance number for us to complete the online check along with a copy of your driving licence.

 All designated drivers must meet the following criteria and a list of documents required are shown below:

  • Copy of driving licence front and rear (original must be seen)

  • Online DVLA driving licence check must be completed. (The check can only be carried out with licences issued from mainland UK)

  • Two proofs of address from separate source

  • Cleared traceable security deposit – either by bank transfer or credit card swipe

  • Signed rental booking form

 

Additional criteria: 

  • Must meet the specific age limits within the policy and have at least 5 years driving experience (Full UK, AU, US, CA, NZ & SA licence types)

  • 2 x 3 points convictions are acceptable i.e.: (2 x SP30 3 points) without referral

  • Single 6-point SP30, SP50 and CU80 convictions are acceptable but are subject to £1,000 excess (an additional £500 will be taken to make up the security deposit £1,500 in total instead of the standard £1,000).

 

Proof of address – You must provide two proofs of address from the following and must be in the format of a PDF bill/statement:

  • Electricity/gas                                  

  • Water /sewage

  • Broadband/Landline

  • Council tax

  • TV Licence

  • Bank Statement

  • Mortgage statement

 

An annual council tax bill will be accepted. All other documents must be dated within the last 90 days of hire date. The address and name on your licence must match both documents.

Only the driver/drivers shown on the booking form are permitted to drive whilst in the hirers care. Any other person will not be insured and JSA Motorhomes accept no responsibility for this illegal action. Should any other unauthorised person drive the motorhome this will be reported to the police immediately for prosecution.

 

3.   Once your booking has been accepted

 

Once we have confirmed the dates you have requested are available and we have completed our checks, we will ask you for your deposit.

 

4.   Deposits and balance payments

 

We require a £250 deposit, to be paid within 48 hours of booking confirmation. If you are travelling in less than 6 weeks of your booking, we require payment in full via our bank account.

We require £1000 security deposit 48 hours prior to your collection, payable via credit card (administration charge applies) or bank transfer. This will be returned in full within 3 working days of your return unless items are damaged or lost - see below.

 

5.   Security deposit and associated charges

Our mileage policy covers 100 miles of travel per day (a 50p per mile excess charge will be deducted from security deposit) Miles will be checked at collection and return.

We hold a £1000 security deposit during your rental and should you damage the motorhome in any way during your hire, the cost of additional miles and repairs will be deducted from your security deposit. We will provide you with a copy of receipts/bills to replace or repair any damaged items.

 We have no intention to make additional charges. However, you will be charged for any damage caused whilst the motorhome is in your possession.

 Examples of such charges are outlined in our Motorhome Returns Policy. A copy can be supplied on request.

 

6.   Cancellations and charges

 

All deposits are non-refundable. However, if cancelled due to extreme circumstances then deposits can be transferred to a future booking within 12 calendar months of original date.

 

7.   Collection and drop off times

 

Collection will normally be at 9am on day of hire and return at 3pm on last day of hire. However, we can be flexible should you have special requirements.

 

8.   Your vehicle storage

 

You are able to store your vehicle at our secure storage facility for a small fee (£10 per day). However, this will be at your own risk and covered by your own insurance.

  

9.   Motorhome capacity

 

Each motorhome is fitted with 4 seat belts, and each person is to use the safety restraints provided at all times whilst the vehicle is in motion. Children up to 12 years of age or 135cm in height must use the correct child restraints appropriate for their weight/height under UK law.  When using your own baby/child seats, it is your responsibility to ensure they are fitted correctly in line with the manufacturers’ instructions.  Any child seats fitted by the hirer is done so at their own risk.  For further details, visit www.gov.uk/child-car-seats-the-rules or your baby/child seat manufacturer. It is illegal to travel in the vehicle unbelted and this is in no way permitted. Our motorhomes sleep 4 people each. Our Pilote has 2 double beds and our Dethleffs has 1 double and 2 singles.

 

10.      What’s included in the rental

 

Our motorhomes come fully equipped with everything you need to be able to self-cater on your adventure, a gas BBQ, outdoor table and chairs, various hoses/cables to power up motorhome on a site and event tent/awning. (A full list can be provided on request).

We provide mattress protectors and fitted sheets, but we do not supply duvets, pillows, cushions, towels or tea towels.

When you collect the motorhome, it will have a full tank of diesel.  We expect the vehicle to be returned with a full tank ready for the next customer. If this is not the case, there will be a refuelling charge deducted from your security deposit.

We supply 2 gas bottles with an external filling point. They will be provided full, and should you need to top up the gas while away, we will show you how to refill. This will be at your expense.

 

11.      Motorhome insurance

 

Our motorhomes are supplied with fully comprehensive insurance and are subject to terms and conditions. A copy can be made available for your perusal. Our insurance only covers our motorhome and does not cover contents. Should you wish to cover personal effects this will be at your expense and cover must be arranged by you.

 

12.      Holiday insurance

 

JSA Motorhomes do not provide holiday insurance and we recommend hirers arrange their own through their preferred supplier.

 

13.      Rental period and late returns

 

Details of your agreed hire are outlined and confirmed on your booking form. Unauthorised late returns are subject to additional charges of £50 per hour.

 

14.      Travel restrictions

 

You are only permitted to travel within the UK.

 Any associated costs such as speeding, toll/road crossing or any other motoring offences are the responsibility of the hirer. Details of this can be found in our insurance terms and conditions policy (a copy can be provided on request).

 

15.      Signing our booking form, driving licence and insurance checklist, insurance terms and conditions

 

Signing and returning the various documents we initially provided you with forms part of our contract confirming you have read and understood our terms of business and accept the information contained within.

 

16.      Use of motorhome whilst on hire with us

 

  • It is the sole responsibility of the hirer to ensure the motorhome is locked and secured whilst in their care.

  • The keys must never be left in the ignition or in the motorhome when unattended.

  • All windows and roof vents must be closed when not in the vehicle.

  • The above three statements must be adhered to and failure to do so will result in insurance being invalid in the event of theft or attempted theft.

  • It cannot be used for anything else other than to travel, cook and sleep in.

  • It cannot be re hired or used for motorsports, used for hire and reward, taken onto a beach, driven into water. It is being hired for purely social, domestic and family use.

 This list is not exclusive.

 

17.      Reporting an accident, vandalism, or breakdown

 

In the event of an accident JSA Motorhomes must be contacted immediately.

  • Photos and videos must be taken of the incident showing damage incurred.

  • Never accept blame.

  • Obtain drivers insurance details.

  • If possible, take a photo of other persons driving licence.

  • If the Police attend the incident, obtain an incident reference number.

In the event of a breakdown, locate the company’s details on a business card attached on the sun visor. Once you have contacted the breakdown company call JSA Motorhomes immediately.

 

18.      Motorhome operating instructions

 

We provide you with a comprehensive handover which can take up to an hour or less if you are already familiar with the controls. 

We provide you with a manual detailing the various controls to take with you in case you forget any of the information on handover.

Should you forget or are unable to find the information you require to operate any of the motorhome’s appliances, JSA Motorhomes are on the end of a phone to assist.

 

19.      No smoking policy

 

We operate a strict no smoking policy in our vehicles.  JSA Motorhome Rentals reserve the right to impose additional valeting or upholstery cleaning fees should smoke be detected on return.

 

20.      Pet policy

 

We allow small dogs (2 per hire) at no extra cost. We ask that you use blankets and dog baskets and ensure your dogs are secured when travelling.  Should the vehicle require cleaning, a domestic charge will apply.

 

21.      Giving false information and terminating your booking

 

Should we discover at any point that you have supplied us with false information, we will terminate your booking and any payments made will not be refunded.

 

22.      Your obligation as a hirer

 

We rely on your integrity, honesty and trust when hiring our motorhomes. We ask that you treat them with respect, keep them clean as well as ensuring you have sufficient oil, water and fuel to carry out your journey.

  • We expect you to lock and secure the vehicle closing all windows and doors whilst you are not in it.

  • We rely on you reporting any damage that occurs during your hire.

  • We rely on you to record, take pictures of any incidents that take place during your hire.

  • We rely on you following the law of the road and to be respectful to other road users.

  • You must not carry more than the seat belt capacity of the motorhome (four passengers maximum including the driver)

  • You must not use the motorhome to carry passengers for hire and reward

  • You must not tow or push any vehicle, trailer, or any object

  • You must not drive off road, on unsurfaced roads or roads unsuitable for this type of vehicle

  • You must not overload the vehicle beyond the maximum capacity of 3500kg

  • Ensure all loads contained within the interior and exterior are properly secured

  • Ensure all items in the garage area are secured prior to travelling 

  • Ensure all windows, roof vents, aerial and doors are locked and secured before travelling

  • You must not leave the vehicle unlocked or leave the keys within the motorhome whilst unattended

  • Ensure keys are stored safety out of sight when not in use

  • You will be liable for all costs because of any negligence or acts by any member of your party whilst the motorhome is in your care

  • You will be liable for any damage caused by submersing the motorhome in any form of water whether it be land or sea and the motorhome should only be used on solid ground, or firm grass pitches and not on sand or untarmacked/concrete road surfaces 

  • The motorhome can only be driven on public highways and all laws of the road must be adhered to, as well as conforming with all road traffic laws

  • All drivers must be aware of height and width restrictions and reminders of these measurements can be found on the sun visors

  • You are responsible for all fines, toll charges, unauthorised parking fines, speeding fines or any other associated costs accrued by you whilst in your care

 

23.      Health and safety

Each of our vehicles are supplied with a basic first aid kit, a small fire extinguisher, a fire blanket, smoke, and carbon monoxide testers (we recommend these be tested daily).

  • It is your responsibility to ensure all gas appliances are turned off when not in use and any naked flames are not left unattended.

  • All manuals on the use of the various appliances are contained within the book pack supplied in the overhead locker.

  • In the event of a fire, ensure all guests and pets are removed from motorhome and stand a safe distance away from the motorhome

  • Please use damp/wet towels, if possible, to suppress the fire or use the fire extinguisher provided

  • If unable to contain, contact the emergency services immediately

  • Once all parties are safe and the emergency services have been contacted, please call JSA Motorhomes immediately

  • If for any reason you need to use the first aid kit supplied, please advise us on your return, to enable us to replenish any items used in preparation for the next hirer

  • It is important that when visiting campsites, you familiarise yourself with their health and safety procedures, along with assembly points and how to raise the alarm should this be required

 

24.      Data protection and personal data

 We agree to keep your personal data secure and will not share with any third parties, other than ourselves, our insurance company and the DVLA for licence checks, as this is mandatory to your hire

25.      Governing law and jurisdiction

 

You agree to adhere to the terms and conditions contained within this document and any dispute or claim arising out of or in connection with or its subject matter shall be governed by and constructed in accordance with the laws of England and Wales. You irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with the agreement or its subject matter.

We ask you to always exercise caution and integrity whilst using our motorhome and the equipment provided during your hire. We will provide you with all the help and assistance we can to make your hire an enjoyable one.
